Administrative & Customer Service Specialist

We are seeking a versatile Administrative & Customer Service Specialist to join our Shaw Brick team in Moncton, NB. In this hybrid role, you will be the backbone of our daily operations - serving as the first point of contact for our valued contractors and clients while managing the critical administrative and logistical operations that keeps our business moving and our customers coming back.

Core Responsibilities

• Contractor & Customer Care: Greet walk-in contractors and clients, answer multi-line phone inquiries, take accurate material orders, and provide clear product information.
• Order Processing & Invoicing: Input contractor orders, generate quotes, process payments, and manage invoices using our point-of-sale and inventory system.
• Logistics Coordination: Coordinate with the warehouse team and dispatch drivers to ensure accurate, on-time deliveries and order pick-ups.
• Office Administration: Maintain accurate digital and physical files, reconcile daily sales receipts, manage office supplies, and support the branch management team with basic clerical tasks.
• Account Management Support: Assist with contractor billing inquiries, follow up on outstanding order details, and resolve account discrepancies professionally.

What You Bring

• Experience: 2+ years of experience in an administrative support, counter sales, or customer service role (experience in building supplies, hardware retail, trades, or logistics is a massive asset)
• Language: Fluency in English is required. Bilingualism (English/French) is highly preferred to effectively support our diverse local contractor base
• Tech Savvy: Strong proficiency with Microsoft Office (Word, Excel, Outlook) and a proven ability to learn inventory, ERP, or POS systems (like Syspro) quickly
• Industry Knowledge: Familiarity with landscaping, masonry, basic construction terminology, building materials, or blueprints is a strong asset, though we are willing to train the right person
• Attributes: Excellent multi-tasking skills, a calm demeanor under pressure, and a team-first, "get it done right" attitude
• An “Ownership” Mindset: You genuinely care about the quality of your work. We are looking for someone with a strong work ethic who takes pride in getting the details right the first time, every time, and cares about building real relationships with our customers
