Department of Psychology About the Department of Psychology The Department of Psychology at McGill University has for decades been one of the world's leading psychology departments. This continues to be the case, as our department consistently ranks very high among the world's psychology departments ( QS Rankings ). Within the Faculty of Science, we provide a high-quality education to a large undergraduate student body; our Honours program is exceptionally research-intensive and has produced many outstanding graduates. Position context - Reporting to the Academic Advisor, the Student Advising Administrator in the Department of Psychology will provide guidance and support to a diverse student population, which is responsive to their academic needs and facilitates the pursuit of their educational goals. Is responsible for providing efficient and effective administrative support to the Undergraduate Academic Advisor and assisting in the implementation and formulation of policies, academic updates, and program changes. Provides and carries out administrative services to ensure the continuity of the University's mission. Major Responsibilities -
  • Provides advice to undergraduate students on a variety of matters, such as program/course selection, requirements, prerequisites, deferred and supplemental exams.
  • Provides advising to new students {first-year student, CEGEP, transfer, visiting and exchange). Helps coordinate and participates in the departmental orientation session. Participates in University orientation, McGill Open House, and other recruiting events.
  • Assists students experiencing difficulties by providing guidance, information and referrals to other university offices and services.
  • Evaluates records of graduating students concerning requirements for graduation. Approves and recommends students for graduation to the Faculty of Science, the Faculty of Arts, and the Faculty of Arts and Science.
  • Assists with the development of the undergraduate program, including assistance with course proposal forms.
  • Oversees the reserved seating for courses, monitoring of Banner during registration, and permit requests for the department. Assists with student emails related to these and other requests. Keeps track of enrollments for short- and long-term course planning.
  • Assists with program changes and course proposals.
  • Approves the final e-calendar revision & timetable submitted.
  • Tracks potential undergraduate awards/scholarships and notifies relevant committees and students of their availability and student success.
  • Supervises support staff. Plan, schedule and delegate the work of staff in accordance with the department's goals and objectives and monitor performance.
  • Works with the Psychology Social Media and Website Committees on undergraduate-related communications and information. Interprets and applies student-related University regulations, policies, and guidelines and acts as an advisor to unit members regarding these procedures.
  • Liaises with the faculty academic advising teams (SOUSA and OASIS) and enrolment services regarding student files & policies.
  • Manages requests for information on policies and procedures (in person, by email, letters or by telephone) from staff, students, and representatives from other universities.
  • Creates various reports concerning student enrolment, Annual reports, registrations, etc.
  • Undertake special projects.
Other Qualifying Skills -
  • Undergraduate degree in Psychology is preferred.
  • Knowledge of the university environment and undergraduate student affairs experience is an asset.
  • Experience leading a team.
  • Excellent interpersonal skills to establish and maintain effective working relationships with stakeholders at all levels.
  • Resourceful team player dedicated to helping students succeed.
  • Must be highly organized and professional; have excellent judgment; discretion and ability to make complex decisions.
  • Must be self-motivated and proactive and can carry on simultaneous projects.
  • Ability to track, analyze, and synthesize a high volume of information and meet strict deadlines.
  • Experience with student outreach, recruitment and networking is an asset.
  • Knowledge of MINERVA, BANNER and Workday is an asset.
  • Must be proficient in working with Microsoft Office: Excel, PowerPoint, and Word.
  • Knowledge of Undergraduate Studies programs is an asset.
  • Knowledge of French and English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level 4 on a scale of 0-4.
