The Manitoba Advocate for Children and Youth (MACY) is an independent officer of the Legislative Assembly and is independent of government. The Manitoba Advocate's statutory mandate includes representing the rights, interests, and viewpoints of children, youth, and young adults receiving any designated or reviewable services as described under The Advocate for Children and Youth Act. The Manitoba Advocate also reviews and reports upon the standards and quality of those reviewable and designated services provided to children, youth, and young adults who have died, to educate the public and to enhance the safety and well-being of Manitoba children, youth, and young adults.

Qualifications: Essential:

• Certificate or diploma in office administration or an equivalent combination of education/experience may be considered; and experience providing confidential administrative support (e.g. preparing correspondence, meeting minute-taking etc.)
• Excellent working knowledge of automated management information systems & MS Office suite.
• Excellent interpersonal and communication skills, working collaboratively within a team setting to deliver exceptional services to the youth, families and communities MACY serves.
• Strong understanding of confidentiality requirements, legislation and policy, with experience managing and supporting highly sensitive work.
• Excellent organizational and time management skills to manage a high-volume workload and meet deadlines following established practices and policies.
• Strong ability to exercise initiative and independent judgment to manage highly sensitive work with accuracy and attention to detail.
• Understanding of provincial child-and-youth-serving programs and public systems, including services/systems such as child and family, youth justice, addictions, disabilities, mental health, education, and victim support, including associated regulations and standards.
• Working knowledge and understanding of the lives of Indigenous peoples and the aims and objectives of Indigenous communities, as well as other diverse cultures with respect to the provision of culturally appropriate services.

Desired:

• Understanding and knowledge of the role and function of the Manitoba Advocate for Children and Youth.
• Ability to communicate in French or one of Manitoba's Indigenous languages.

The Manitoba Advocate for Children and Youth is looking for candidates who are willing to work on a flexible schedule to cover office demands.

Duties: The incumbent is responsible for all administrative support functions on behalf of the Serious Injury Program. This includes, but is not limited to: maintaining the program's databases, opening case files and ensuring accurate records and entries, generating monthly statistical reports, developing and maintaining statistical analysis of monthly reports, creating hard copy and /or digital files for staff, maintaining office supplies, attending program meetings, creating agendas and follow-up action items, distributing minutes and providing general support such as scheduling meetings and producing general correspondence. The Senior Clerk is the first point of contact for all persons contacting the office, including greeting and assisting visitors, answering and directing calls, and responding to inquiries in-person, by phone, fax and or email. The incumbent is responsible for maintaining a database of community-serving agencies for referral purposes as well as for distribution of MACY reports and materials. This position requires the incumbent to promote, facilitate and support the involvement of youth in MACY's work. The Senior Clerk provides back-up assistance and coverage for reception and the other Senior Clerk(s) working within MACY.
